Executive Assistant to a brave and expanding family business - Helsingborg

In your role, you will act as close support to the CEO in daily operations. You will coordinate, plan, and provide broad practical and operational support in the CEO's work. You will handle emails, calendars, bookings, travel planning, etc., and serve as a contact point between the CEO and internal/external parties, communicating with customers and suppliers, for example. The role also includes operational support such as preparing presentations, CEO activities at trade fairs, project coordination, and preparing reports and decision-making materials.

Your tasks:

CEO Support

  • Close support to the CEO in management work (general coordination, planning, and support in implementation)
  • Calendar and email management both work and personal (bookings, meeting coordination, prioritization)
  • Travel planning and booking
  • Prepare presentations, reports, and decision-making materials
  • Act as a contact person between the CEO and internal/external parties
  • Communicate with customers, partners, suppliers, etc.
  • Coordinate CEO activities such as trade fairs, etc.

Your profile:

You have experience as an Executive Assistant, Executive Secretary, Coordinator, or similar. You have solid experience in organizing, communicating, coordinating, and prioritizing, as well as driving projects forward, seeing what needs to be done, and getting things done. Furthermore, you have extensive experience in social roles with many contacts both internally and externally.

You are comfortable in a digital environment and preferably have an understanding of AI and a willingness to learn more about it. You have experience from a smaller company and working closely with the CEO/Management. You have excellent knowledge of Swedish and English, both spoken and written.

As a person, you are proactive and self-driven – you see what needs to be done and can handle rapid changes and varying tasks. You are structured and meticulous with a focus on details while also being able to see and understand the bigger picture. You have a strong personality, are positive, social, and easily build relationships both internally and externally. It is important that you have great integrity, can be discreet, and understand the importance of handling confidential information.

About the position:

The position is a permanent full-time employment. Location at the headquarters in Helsingborg. Start date according to agreement.
